Platform Privacy Notice

1. What this covers

This Platform Privacy Notice describes what Clinical Enrollment, Inc. ("CE") collects from professional users of the Site OS at site.clinicalenrollment.com - site coordinators and staff, sponsor personnel, and CE's own team - and how it is used. Patients: this page is about the professionals who use our coordination tools. How CE handles patient information is described in the main Clinical Enrollment privacy policy and in the authorization you signed.

2. What we collect about platform users

• Work identity and contact details - your name, role, work email, and work phone, provided by you or your organization (for example on the site agreement).
• Access and activity records - which links you open, when, from what network address, and the actions you take (for example, logging a referral outcome). Personal links identify the individual they were issued to.
• Content you enter - outcomes, notes, dates, and profile details you submit through the Platform.

3. How we use it

• To operate the service: routing referrals, showing your queue, generating reports.
• To keep an audit trail: healthcare coordination requires knowing who saw and did what, when.
• To secure the Platform: detecting misuse, revoking exposed links.
• To communicate with you about referrals and the service.

We do not sell platform users' personal information and we do not use it for third-party advertising.

4. Patient information on the Platform

Site-facing pages display patient information to the authorized site under the patient's authorization and the site's agreement with CE. Sponsor-facing pages are built to show referrals by CE reference ID only, without patient names or contact details. Platform users must handle patient information as their agreements and applicable law require.

5. Who we share it with

• Your organization - your activity on your organization's referrals is visible to it and to CE.
• Service providers - infrastructure that runs the Platform (hosting, database/CRM, email delivery) under agreements limiting their use of the data.
• Sponsors - operational metrics about site performance on their study; patient identities are not included on sponsor surfaces.
• Legal - when required by law or to protect patients, users, or the service.

6. Retention and security

We keep platform records as long as needed for the coordination work, our agreements, and legal obligations, then delete or de-identify them. Access is gated by signed, expiring, revocable links; passcodes where applicable; and per-user access logging. No system is perfectly secure; tell us immediately at help@clinicalenrollment.com if you suspect a problem.

7. Your choices

You can ask us to correct your details, revoke your links, or stop non-essential email at any time - use the preferences page or email us. California residents: the rights described in the main privacy policy apply to you.
